A hotel rarely needs just one printed item. Reception orders vouchers, the restaurant updates menus, the spa needs price lists and the conference team needs badges. A structured checklist combines these needs into one comparable enquiry and reduces corrections.

Begin with the areas of the property

Walk through the hotel by guest touchpoint: reception, rooms, food and beverage, spa, meeting spaces, circulation areas and back of house. For every item, record the owner, current artwork version and the date when it must be available.

Separate permanent, replenished and seasonal materials. A room sign may remain in use for years, a menu insert for weeks and a New Year's Eve offer for one event. These groups require different materials and schedules.

  • permanent items: signage, covers, boards and room equipment
  • repeat items: inserts, packaging, vouchers and stationery
  • seasonal items: holiday, summer, conference and event offers

Reception, rooms and guest communication

Reception requires information and sales materials such as business cards, folders, vouchers, envelopes, maps, loyalty cards and temporary notices. Guest rooms add door hangers, directories, room service, minibar, Wi-Fi, house rules and information about additional services.

Room materials are touched and cleaned frequently. A durable cover with replaceable inserts is often more practical than reprinting an entire guest directory whenever prices, opening hours or policies change.

  • door hangers and room signs
  • guest directories and instructions
  • room service, minibar and service cards
  • notepads, pens and welcome items

Restaurant, bar and spa

Food and beverage creates the largest number of versions. Main menus, breakfast, wine, cocktails, seasonal inserts and event menus change at different speeds. Decide which parts should be durable and which must be easy to replace.

Spa materials include treatment lists, catalogues, forms, vouchers and gift packaging. A price list should allow economical updates, while a voucher must look refined both at reception and when presented as a gift.

  • main menus and seasonal inserts
  • wine, cocktail and dessert lists
  • placemats, tabletop displays and bill presenters
  • spa price lists, vouchers, envelopes and boxes

Conferences, staff and signage

Events have fixed deadlines. Badges, lanyards, programmes, folders, notepads, room signs and stage graphics should be divided into items that can be produced early and personalised items completed after the attendee list closes.

Uniforms and signage need extra information. For aprons, provide sizes, models, colours, washing conditions and branding method. For boards and banners, confirm location dimensions, substrate, weather exposure, viewing distance and installation.

  • badges, lanyards, wristbands and agendas
  • aprons, sweatshirts and shirts with branding
  • boards, window films, wayfinding and numbering
  • backdrops, roll-ups, banners and mesh

Prepare one quotation request

You do not need to know paper names or printing technologies. More useful details are purpose, size, quantity, replacement frequency, deadline and delivery point. If several quantities are being considered, list each option, for example 250, 500 and 1,000 pieces.

Attach vector logos, brand guidelines, current artwork and photos of existing items. For several properties, include the quantity split and delivery addresses. One table showing the owner of each item significantly reduces the risk of printing an old phone number, price or logo.

We focus on larger business orders, coordinated multi-product sets, production for complete properties and recurring deliveries.

Frequently asked questions

Can different products be combined in one order?

Yes. A shared schedule makes artwork, colour, packing and deliveries easier to control.

Do we need finished artwork?

No. We can design missing items, adapt existing materials and check production files.

Can repeat orders be planned?

Yes. Define the core products, content update rules and minimum stock for each department.
