Good signage is almost invisible because guests reach their destination without asking. The system must work as a whole, from the entrance and parking to room numbers, meeting spaces and back-of-house areas.

Walk the route as a first-time guest

Begin outside the building. Check the vehicle entrance, parking, main door, reception, lifts, stairs, corridors and decision points. People familiar with the property often miss places where a new guest loses orientation.

Record conflicting signs as well as missing ones. Several unrelated signs can be less useful than one well-positioned direction.

  • entrance, parking and main door
  • reception and primary circulation
  • rooms, dining, spa and meetings
  • toilets, exits, service and technical areas

Build an information hierarchy

Direct guests to major zones first and then to individual rooms. A sign should not list every destination if the decision can be divided across later points.

Names must match signs, maps, website and staff language. Internal abbreviations should not be shown to guests.

  • primary direction
  • zone name
  • room name or number
  • policy and safety information

Legibility and language versions

Letter size depends on reading distance and decision time. A vehicle sign requires very different typography from a room number.

Pictograms reduce language volume but must remain unambiguous. When translations are used, order and terminology need to be consistent throughout the property.

  • contrast against the background
  • appropriate text size
  • matte surfaces to reduce reflections
  • consistent pictograms and naming

Material and installation

Choose materials for the location, substrate, moisture, light and service life. Exterior elevation, lift lobby and room door need different solutions.

Confirm the installation method and property approval before production. Positioning templates are useful for repeated items such as room numbers.

Measurement and installation planning are part of signage design. Artwork alone is not enough for safe production.

A system ready for change

Meeting rooms, offices and opening hours can change. Use permanent structures with replaceable inserts in these locations.

Documentation should record the location, size, material, colour and artwork for every sign. A single replacement can then be ordered without reconstructing the system.

Frequently asked questions

Can hotel signage be designed without a site visit?

Individual signs can, but a complete wayfinding system requires measurements and route testing.

How can the number of language versions be reduced?

Use recognised pictograms and short, consistent destination names.

What about frequently changing signs?

Use a fixed holder or structure with replaceable content.
